Convention
Facilities Planning

Because
we have the entire Hyatt Regency Capitol Hill, we have a great deal
of flexibility and plan to keep our final decision about how to
use the space open for a while. Several things are definite.
We plan to keep most, if not all of the convention on the
Ballroom Level, although we may use one room at the top of the escalator
to the lobby level for programming.
The
one exception to this is the consuite. If we use function
space for the consuite, we would have to let the hotel cater it,
which for obvious reasons we'd rather not do. We
will probably be using one of the Presidential Suite on the top
floor. While this places the consuite farther away from the
rest of the convention than we'd like, the top floor is served by
six elevators and is down the hall from the excellent Capitol View
Club.

We
have decided that Registration will be in the area outside of Ticonderoga.
When we held the 1996 Disclave here we found that there is enough
room for that and to allow people to circulate and talk. The Regency
Ballroom A will be the dealers room, which also worked well
for Disclave. Columbia A and B will be used for the art show.
The
Autograph session on Friday and the Banquet on Sunday will be in
Valley Forge, Yorktown, and Ticonderoga. This
allows plenty of room for autographs and gives us a large space
for the banquet. Green room, office, storage etc. will be
in the smaller rooms of the Hall of Battles, most likely Lexington
and Concord.

- Regency A measures 97' x 58' (5,626 sq. ft.) with an
18' ceiling
- Columbia A and B measure 69' x 52' (3,588 sq. ft.) with
an 12' 9" ceiling
- Ticonderoga / Yorktown / Valley Forge measure 97' x 53'
(5,141 sq. ft.) with an 18' ceiling

We
have yet to decide exactly what space we will be using for programming.
The Regency Foyer certainly, and on Saturday some combination of
Valley Forge, Yorktown and Columbia C is an option, which would keep everything
on the same level.
Our
hotel rep has suggested using the Capitol Room and Congressional A/B.
The Capitol Room, being just up an escalator from the rest of the
convention, would work well but the Congressional is not only across the
lobby but has an odd configuration and pillars in places where we'd rather
not have them. This won't be a problem; we have plenty of space
elsewhere.

Obviously,
this leaves us with a fair amount of space unused. Expand the Art
Show into the Columbia Foyer, put chairs there for people who want to sit
and talk but not go upstairs? Use Congressional A/B for music on Saturday
night? We have space to spare and are playing with ideas of how we
might use it. |
